Position Summary 

Under minimal supervision, perform duties that are complex and require knowledge of loan products, as well as legal documentation and collateral perfection concepts and practices. The Commercial Settlement Administrator works within a Commercial Lending Team to settle new commercial loans and modifications to commercial loans in a timely manner, ensuring that the loans are settled according to the Loan Approval, in accordance with Bank Policy and that adhere to all State and Federal Lending Regulations to reduce the risk of financial loss to the Bank. This position is also responsible for ensuring any loan subject to Federal HMDA regulations is appropriately identified and all required information is obtained. The Commercial Settlement Administrator also prepares each settled loan transaction for boarding into the Bank's core accounting system in a timely manner and assists the Lending Team with reviewing, researching and clearing any loan documentation exceptions that exist for the Team's loan portfolio.

Essential Requirements, Duties, and Responsibilities

  1. Logs pending commercial loan transactions onto pipeline tracking report(s), reviewing each loan approval for appropriate approval authority.
  2. Reviews loan commitment letters and legal documentation, whether prepared internally or by Outside Counsel, reviewing same for compliance with the loan approval, and all Federal and State lending regulations.
  3. Reviews property title searches, flood hazard certifications, UCC lien searches and other due diligence items through third party vendors and addresses any issues. Prepares appropriate Notifications as required by Federal Flood Insurance regulations.  Places order for Title Insurance from Attorneys or Title Companies, as appropriate, and reviews Title Commitment and exceptions accordingly.
  4. Reviews corporate and other entity formation and governance documentation to determine appropriate level of signing authority.
  5. Assesses each commercial loan application for applicability with Federal HMDA regulations and if applicable, ensuring all required information is obtained and compiled and all internal forms completed properly to ensure accurate reporting to the Federal government.
  6. Engages Outside Counsel, when appropriate, for preparation of loan documents, working closely with same through settlement of the loan transaction or requests documentation package internally.
  7. Works with Commercial Lending Assistant to obtain and review all information required by the loan approval and internal Loan Policy to effectuate timely settlement of loan transactions. Ensures no exceptions exist in documentation, that all approved conditions have been met and that all Bank policies and procedures are followed when settling commercial loans.
  8. Coordinates settlement date and time and conducts settlement, when necessary.
  9. Reviews settled loan documentation packages for completeness, dates, signatures, etc. prior to sending the file for booking.
  10. Assists Lenders with clearing outstanding documentation exception items.
  11. Perform a variety of administrative functions to include but not be limited to filing, photocopying, ordering supplies, answering telephones/emails, performing account research, etc.
  12. Assisting with completion of various departmental projects, either as project lead or project participant.
  13. Responsible for understanding the Bank's BSA/AML Policy, including satisfactory completion of required annual BSA/AML training as applicable to position and appropriately applying this knowledge to daily activities and responsibilities, specifically understanding that any suspicious activity must be reported to the BSA Officer immediately.
  14. Performs other duties as assigned.

Educational & Other Requirements 

  1. Minimum of 1-2 years prior related experience required.
  2. Must be bondable.
  3. Knowledge of commercial loan documentation concepts and regulatory requirements.
  4. Prior knowledge of CreditQuest Credit Manager software preferred.
  5. Prior knowledge of LaserPro documentation software preferred.
  6. Prior knowledge of Laserfiche imaging software preferred.
  7. Proficient in the use of Microsoft Word and Excel.
  8. Excellent Customer Service Skills.
  9. Good time management and strong organizational skills.
  10. Ability to work independently with little or no supervision.
  11. Good interpersonal skills and ability to work in a team environment as an effective team player.
  12. Ability to work in a fast paced environment with constantly changing priorities and meet deadlines under pressure.
